Private Events Coordinator Internship, Fall 2021

The Missouri Historical Society is accepting applications from current undergraduate or graduate students who are interested in a career in hospitality for an unpaid academic internship within the Tourism and Visitor Experience Department for the fall 2021 semester. The intern will report to the Private Events Coordinator.

The Private Events Coordinator intern will work closely with the Private Events Coordinator to learn facets of the field, including daily organizational tasks, site visits with clients, and day-of-event coordination. The Private Events Coordinator intern will learn to work with multiple departments within the Missouri Historical Society, as well as with outside vendors to successfully execute events. This well-rounded approach will provide experience in event management from initial inquiry through event completion.

Schedule

A minimum of 20 hours per week for 12 weeks is required. The schedule is flexible, but the intern should be available to work events on nights and weekends. The final schedule will be determined with the supervisor.

Responsibilities Include (but are not limited to)

  • Answering initial inquiries about the Museum's event spaces and scheduling site visits, via phone or email
  • Creating contracts and group sales in MHS's online database
  • Assisting the Private Events Coordinator in site visits and Museum tours
  • Assisting the Private Events Coordinator on event days
  • Performing venue and vendor research for industry trends and standards

Qualifications

  • Current undergraduate or graduate student in the hospitality, restaurant, or event management field is preferred
  • Interest in event management, sales, and event planning
  • Strong communication skills, including in-person, over the phone, and email correspondence
  • Ability to handle stress and high-pressure situations, and to solve problems while remaining composed and professional
  • Strong computer skills and the ability to learn new event-based programs
  • Experience with Microsoft Word, Excel, and Outlook is required
  • Experience with Social Tables or All Seated is preferred
  • Strong organizational skills and the ability to multitask
  • Experience in planning and coordinating events is preferred

  • To grow knowledge of sales, networking, and client relations
    • To become educated in successful communication for events and in creating key components for events, such as floorplans and timelines
    • To have working knowledge of event management and museum operations upon completion of the internship
